Why is my payslip changing to an electronic version?

An online payslip is a much more secure and efficient way of receiving your monthly pay advice. The production of paper payslips is expensive and time consuming in terms of administration. It takes a lot of time and effort to produce, print, securely seal, sort and transport the payslips.

How do I access the online payslip portal?

We will upload your email address into the online portal which will generate an email to you with an initial password. This is why we need you to provide an email address. When you log into the portal for the first time, you’ll need to change your password to something more memorable. You will also need to set up a security question which adds further protection in accessing the system.

What if I forget the password to the online portal?

There is a “forgotten password” link on the online portal. This will send a password re-set email to you, that will enable you to change the password. If you are unable to change the password yourself, you can contact the Payroll Team on:

 

Can I access my payslip via my mobile phone?

Yes, you can access your payslip via any device that can connect to the internet.

I don’t have a mobile phone. How will I access my payslip?

The payslip is available via any device that can connect to the internet, such as a desktop PC, laptop or tablet.

How long will my payslips be available in the online portal?

You will be able to access your payslips for as long as you are a current Vale of Glamorgan Council employee.

What if I leave my employment?

Your payslips will be available online for up to 90 days after you have left your employment. If you are leaving employment, we would recommend that you log into the portal and save copies of your payslips to your own device. If you need copies of payslips at any point in the future, please contact the Payroll team on:

 

Will I receive my P60 through the portal?

Yes, you will be able to access your P60’s for 3 years from the date they are issued.

Can I save a copy of my payslip?

You will be able to save any copies of your payslips directly to your device.

Can I print a copy of my payslip?

You will be able to print and save any copies of your payslip directly from the portal.

What if I want to still get a paper payslip?

The move to an online payslip is mandatory for all staff. In order to deliver the monthly payslip in the most effective and secure way, you will need to log in to view them. You will have the option to print the payslip if you need it.

Can I see a demonstration of the new online payslip portal?

I have multiple positions on different pay numbers – will I have multiple log ins?

No, the payslips will be generated based on your individual employee number which can be found on your current payslip.

Will my pay information be secure online?

Yes. The online payslip requires a two-step log in process. This will be a password of your choice, followed by an answer to a memorable question.

When will my payslip be available?

Online payslips are planned to go live in February 2020.

I currently receive a paper payslip, will this continue?

You will still receive a paper payslip until March 2020. Paper payslips will stop being produced from April 2020, therefore the only route is to access them through the portal.

Will I be notified when a new payslip is available?

Yes, you will receive an email that will notify you when your new payslip is available. If you wish to opt out of receiving these reminders, you can manage this yourself in your preferences once you log in to the new online portal.

Why do you need my email address?

We will need to send you an email with your initial password to log into the online payslip portal. We’ll use this email to send you a notification each month to let you know you have a new payslip to view. You can opt out of this if you would prefer not to receive the reminder. The email address is also needed if you ever need to reset your password to the online portal.

What if I change my email address that my payslips are linked to?

You can update your own email address in the online payslip portal at any time by clicking on ‘My Account’. You can also change your password at any time too from the same place.

Should I use my personal email address or my work email address?

We recommend that you use a personal email address. If you leave your employment, you will be able to access your payslips for 90 days after your leaving date. If you need to access your payslips, your work email account may be deactivated during this time, and if you have forgotten your password to the online payslip portal you will be unable to retrieve the “forgotten password” email. If you do want to use your work email address, we would recommend that you save any copies of the payslips you think you’ll need, if you decide to leave your employment.

Will all of my old paper payslips be available in electronic format when I log into the portal?

Unfortunately not. We are unable to transport the paper versions of your payslips into the portal. When you first log in, there should be the previous three months’ payslips available to view in the portal and each month will then be added thereafter.
