The new InVentry visitor system is now up and running

As part of a wider scheme of security updates at the Alps and Civic offices, visitor sign-in kiosks have been installed.

All visitors must now sign in using the InVentry kiosk, at reception upon arrival at the building.

Please note that the sign in process is not required for benefits and council tax appointments.

Whilst providing the offices with an extra layer of security, the new system will also be essential in maintaining the safety of all staff and visitors during emergencies and evacuations.

On arrival, the kiosk will prompt guests to fill in their details. Once complete, a visitor badge sticker with the visitor’s name, photo and the name of the person they are visiting will print.

The completion of this process will send an email to the member of staff whom they are visiting to notify them of their guest’s arrival so that they can be greeted at reception. The email will be sent from notifications@inventryanywhere.co.uk.

It is the responsibility of the member of staff receiving this notification to meet their visitor(s) at reception. If you are unable to greet your visitor at that time, you should contact reception and advise them on how long you will be so that this information can be relayed to the visitor.

Visitors are to wear the badge in a visible location at all times in the building as this helps to identify unauthorised people in the building.

On departure, visitors should ‘check-out’ of the building by scanning the QR code displayed on the visitor badge using the reader located at the bottom the monitor. Alternatively, guests can use the kiosk to manually check out.

Please note that visitors are responsible for the disposal of their visitor badge for GDPR reasons. If it’s given to staff to dispose of, it needs to be placed in a shredding waste bag and not placed in general waste.

On signing in, visitors are accepting the visitor privacy notice, outlining who has access to the collected data and how long the information is retained for.
